What Is Timesheet Approval?

Timesheet approval is the process of reviewing and confirming worker-reported hours before they’re submitted for payroll. A manager (or automated system) verifies that the hours logged match actual work performed, checks for errors like missed clock-outs or unauthorized overtime, and approves the timesheet for payment.

It sounds simple, but for businesses managing hourly workforces, timesheet approval is where accuracy meets accountability. Get it wrong and you’re either overpaying for hours that weren’t worked or underpaying workers who were — both of which create problems that extend well beyond payroll.

How Timesheet Approval Works

The typical flow starts when a worker submits their hours — either through a digital time-tracking system, a physical time clock, or a manual timesheet. If everything checks out, the timesheet is approved and forwarded to payroll.
