What Is a Job Description?

A job description is a document that outlines what a role entails—the responsibilities, required qualifications, experience level, physical demands, pay range, and working conditions. It's the blueprint that tells a potential worker and a hiring manager what the job actually is. A good one is specific enough to be useful but flexible enough not to lock you into an impossibly narrow pool of candidates.

For organizations blending permanent and flex workers, you might have different versions of the same role. A full-time warehouse associate job description might include benefits eligibility and career pathing. A temporary warehouse shift might be more task-focused: "Pick and pack orders, meet daily targets, follow safety protocols." Both are job descriptions; they just serve different purposes.

Job descriptions aren't just HR formalities. They're your first defense against misclassification lawsuits, because they clarify what the role is and why someone is classified as full-time vs. flex or exempt vs. non-exempt. A vague description that could apply to either classification invites legal trouble.

They're also your recruiting filter. A clear, honest job description attracts people who actually want the role and repels those who don't. That saves you time and reduces early turnover. And for compliance, especially in union or prevailing wage work, the job description anchors wage rates and expectations.

How to Write One That Actually Works

Start with the essential functions—the 3–5 things someone in this role does most days. Then add required qualifications (education, certifications, experience) and nice-to-haves. Include physical demands if they matter (standing 8 hours, lifting 50 lbs, etc.). Be honest about shift patterns. If it's a temporary shift, say so. If it's full-time with benefits, be clear about what's included. The goal is that someone reading your description understands exactly what they're signing up for.
